Identity & insurance documents
What it does
Captures a photo ID and an insurance card against a patient at check-in, using the device's camera or a file. Each capture is filed with what it evidences — an ID against the kind of ID it is (national ID, hospital number), a card against the membership it covers — so a payer querying a claim can be shown the card for that specific policy rather than "a card on file".
Where to find it
On the patient chart, in the Identity and insurance documents panel, directly beneath the patient's identifiers. There is no separate screen: checking a patient in happens on the chart, and front desk should not have a second place to work.
How to capture a document
- Choose Photo ID or Insurance card.
- Say which one it is — the ID type, or the membership the card evidences. Capture stays disabled until you do, because a document filed against nothing cannot be produced when it is needed.
- Optionally give it a title; it defaults to the kind.
- Press Capture. On a phone or tablet this opens the rear camera; on a desktop it opens a file chooser. Both produce the same record.
What you will see afterwards
Each captured document is listed with its scan status. Documents are not opened in the browser — they always download — and until a virus scanner is configured for your deployment, downloads are refused. The status tells you which state a document is in rather than offering a button that will not work.
If the list looks empty
The panel says "No identity or insurance documents are shown here" rather than "none have been captured", and the distinction is deliberate. Identity documents are hidden from roles that may not see them, and the panel is not told whether it is showing you everything. An empty panel means either nothing has been captured or your role cannot see what has.
Who can do this
Capturing an ID or an insurance card needs the identity-document permissions, which reception and facility administrators hold. Clinical roles that can read ordinary attachments are not automatically able to read identity documents: a photo ID has a different access profile from a wound photograph, and the platform keeps them apart on purpose.
⚠ Reception can currently capture documents but cannot list them back, because listing is gated on the general document read that would also expose clinical attachments. This is tracked and will be narrowed.
